Troubleshooting guide for team and workspace invitation issues in YAPL.

Invitation Problems

Solutions for issues with team invitations, workspace invitations, and joining teams.

Didn't Receive Invitation Email

Check Spam/Junk Folder

Invitation emails may be filtered:

  1. Check spam/junk folder
  2. Search for "YAPL" or "invitation"
  3. Mark as "not spam" for future emails

Verify Email Address

The invitation might have been sent to a different email:

  • Ask the sender to confirm the email address
  • Check if you have multiple email accounts
  • Look in other email accounts

Wait and Retry

Emails can be delayed:

  1. Wait 5-10 minutes
  2. Ask sender to resend invitation
  3. Check again

Email Provider Issues

Some email providers may block invitations:

  • Corporate email may have strict filters
  • Check with IT department
  • Ask for a shareable link instead

Request Resend

Ask the team Lead to:

  1. Open the team
  2. Go to Invitations tab
  3. Find your pending invitation
  4. Click Resend

Invitation links expire after 7 days.

Solution:

  • Ask for a new invitation
  • Cannot extend expired links

If it's a single-use link:

  • The link may have been used by you or someone else
  • Ask for a new invitation

Usage Limit Reached

Shareable links have usage limits:

  • Ask sender to check link settings
  • Request a new link or email invitation

When copying links:

  • Make sure you copied the entire URL
  • Don't include extra spaces
  • Try clicking directly from the email instead

Browser Issues

If the link opens but doesn't work:

  1. Clear browser cache
  2. Try a different browser
  3. Try incognito/private mode
  4. Disable browser extensions

Can't Accept Invitation

Not Logged In

You may need to log in first:

  1. Click the invitation link
  2. Log in with your account
  3. Try accepting again

Need to Create Account

New users must register:

  1. Click invitation link
  2. Click "Create Account" or "Sign Up"
  3. Complete registration
  4. Invitation automatically accepted

Already a Member

If you're already in the team:

  • You may have already accepted
  • Check if you're in the team
  • The invitation may be redundant

Wrong Account

You might be logged into the wrong account:

  1. Log out
  2. Log in with the correct account
  3. Try the invitation link again

Workspace Member Limit

The workspace may be at capacity:

  • Workspace has reached seat limit
  • Ask workspace owner to upgrade or remove inactive members

Invitation Expired

What Happens When Invitations Expire

  • Link stops working
  • Email button no longer works
  • Status changes to "Expired"
  • Cannot be renewed

Getting a New Invitation

  1. Contact the team Lead
  2. Ask them to send a new invitation
  3. Accept promptly this time

Preventing Expiration

  • Accept invitations within 7 days
  • Set calendar reminder when invited
  • Communicate delays to the sender

Workspace Owner Invitation Issues

Can't Accept Owner Invitation

Owner invitations follow the same rules as team invitations but may have additional restrictions:

  • Workspace may already have 5 owners (maximum)
  • You may need to be an existing workspace member first

Owner Invitation Not Received

  • Follow same troubleshooting as team invitations
  • Owner invitations are critical - check spam carefully
  • Ask for shareable link if email fails

"Invalid link" or "Link not found":

  • Link may have expired
  • Link may have been cancelled
  • Ask for a new link

After accepting via link:

  • Refresh the page
  • Log out and back in
  • Check if you appear in team members
  • Contact the team Lead

Wrong Role Assigned

Shareable links assign a default role:

  • Ask team Lead to change your role
  • Accept invitation, then request role change

Post-Acceptance Issues

Accepted But Can't See Team

After accepting an invitation:

  1. Refresh the page
  2. Check Teams section
  3. Log out and back in
  4. Clear cache and retry

Accepted But Can't See Projects

Your team may not be assigned to any projects:

  • Ask team Lead to assign team to projects
  • Ask to be added to a different team with project access

Accepted But Have Wrong Role

Contact your team Lead to:

  • Review your role assignment
  • Change role if needed

Sender-Side Issues

If You're Sending Invitations

Invitation failing to send:

  1. Check email address is valid
  2. Verify you have permission to invite
  3. Check workspace member limits

Recipient not receiving:

  1. Verify email address
  2. Try a shareable link instead
  3. Check invitation appears in pending list

Invitation immediately expires:

  • This shouldn't happen - contact support

Common Error Messages

"Invitation not found"

  • Link may be malformed
  • Invitation may have been cancelled
  • Ask for new invitation

"Invitation expired"

  • Request new invitation
  • Accept more promptly next time

"You're already a member"

  • Check if you're already in the team
  • No action needed

"Workspace is at capacity"

  • Contact workspace owner
  • Ask them to upgrade or make room

"Invalid invitation"

  • Link may be corrupted
  • Ask for new invitation via email

Prevention Tips

For Invitees

  • Accept invitations promptly
  • Check spam folders immediately
  • Save important invitation emails
  • Communicate delays to sender

For Senders

  • Verify email addresses before sending
  • Follow up if no response in 2-3 days
  • Use shareable links for groups
  • Set reasonable expiration dates

Still Having Issues?

If you can't resolve invitation problems:

  1. Have the sender verify the invitation exists
  2. Try all troubleshooting steps above
  3. Ask for a different invitation method
  4. Contact support with:
    • Your email address
    • Workspace/team name
    • Error messages received
    • When invitation was sent
