Billing Information

Manage payment methods, view invoices, and configure billing settings in YAPL.

Billing Information

Manage your workspace's billing details, payment methods, and subscription information. Access billing settings from Settings > Subscription in the sidebar.

Accessing Billing Information

  1. Navigate to Settings in the sidebar
  2. Select Subscription tab
  3. View your current subscription status and billing details

Current Subscription Overview

The subscription page displays:

Subscription Tiers

Trial (14 Days Free)

  • Full Professional features
  • 10 seats for team collaboration
  • No payment required
  • Automatically expires after 14 days

Basic ($15/month)

  • 3 fixed seats
  • Up to 5 active projects
  • 2 plans per project
  • 200 tasks per plan
  • Essential features

Professional ($69/month)

  • 10 included seats
  • Additional seats at $6/seat/month
  • Unlimited projects
  • 500 tasks per plan
  • Full features including cost tracking and Gantt editing

Payment Methods

Adding a Payment Method

  1. Go to Settings > Subscription
  2. Click Add Payment Method or Update Payment
  3. Enter card details in the secure checkout
  4. Click Save

YAPL accepts:

  • Visa
  • Mastercard
  • American Express
  • Discover

Payment processing is handled securely by LemonSqueezy. YAPL never stores your full card number.

Updating Payment Method

  1. Go to Settings > Subscription
  2. Find Payment Method section
  3. Click Update Payment Method
  4. Enter new card details
  5. Confirm the change

Payment Method Display

Your stored card shows:

  • Card brand (Visa, Mastercard, etc.)
  • Last 4 digits
  • Expiration indicator

Managing Seats

Understanding Seats

Seats represent the number of users who can access your workspace:

Adding Seats (Professional Only)

  1. Go to Settings > Subscription
  2. Find Seat Management section
  3. Click Add Seats
  4. Enter number of additional seats
  5. Confirm the purchase

Additional seats are:

  • Billed monthly at $6/seat
  • Added to your next invoice
  • Available immediately

Seat Allocation

View current seat usage:

  • Included Seats: Part of your plan
  • Additional Seats: Extra purchased seats
  • Total Seats: Maximum allowed members
  • Occupied Seats: Currently used seats

You cannot reduce seats below your current occupied count. Remove members first if needed.

Invoices and Billing History

Viewing Invoices

  1. Go to Settings > Subscription
  2. Scroll to Payment History section
  3. View list of past invoices

Each invoice shows:

  • Invoice date
  • Amount
  • Status (Paid, Pending, Failed)
  • Download link

Invoice Contents

Invoices include:

  • Company information (from Organization Profile)
  • Subscription period
  • Plan details
  • Seat count
  • Tax information
  • Payment amount

Downloading Invoices

  1. Find the invoice in Payment History
  2. Click the download icon
  3. Invoice downloads as PDF

Subscription Status

Your subscription can be in these states:

Changing Plans

Upgrading

  1. Go to Settings > Subscription
  2. Click Change Plan
  3. Select a higher tier
  4. Complete checkout
  5. New features available immediately

Downgrading

  1. Go to Settings > Subscription
  2. Click Change Plan
  3. Select a lower tier
  4. Review impact on current usage
  5. Confirm downgrade

Downgrading may affect your current data if you exceed the new tier's limits.

Downgrade Restrictions

You cannot downgrade if:

  • Member count exceeds new tier limit
  • Project count exceeds new tier limit
  • You'd lose access to features with active data

Cancelling Subscription

How to Cancel

  1. Go to Settings > Subscription
  2. Click Cancel Subscription
  3. Review what you'll lose
  4. Confirm cancellation

After Cancellation

  • Access continues until current period ends
  • Data is preserved for 90 days
  • You can reactivate at any time
  • No refunds for partial periods

Reactivating

  1. Go to Settings > Subscription
  2. Click Reactivate Subscription
  3. Choose a plan
  4. Complete payment
  5. Access restored immediately

Billing Address

Your billing address is used for:

  • Invoice generation
  • Tax calculation
  • Payment verification

Update billing address in Settings > Organization > Company Settings.

Tax Information

YAPL handles taxes based on:

  • Your billing country
  • Your tax ID (if provided)
  • Local tax regulations

Tax ID

Provide your tax ID (VAT number, EIN, etc.) in Organization Profile to:

  • Receive proper invoices
  • Enable tax exemptions where applicable
  • Comply with local regulations

Payment Issues

Failed Payment

If payment fails:

  1. You'll receive an email notification
  2. Subscription enters "Past Due" status
  3. Update payment method within grace period
  4. Service continues during grace period

Grace Period

  • 7 days for failed payments
  • Full access during grace period
  • Update payment to avoid service interruption

Declined Cards

Common reasons for decline:

  • Insufficient funds
  • Expired card
  • Bank security block
  • Incorrect details

Try:

  1. Using a different card
  2. Contacting your bank
  3. Verifying card details

Who Can Manage Billing

Only workspace owners can:

  • View billing information
  • Update payment methods
  • Change subscription plans
  • Add seats
  • Cancel subscription

Team members cannot access billing information.

Troubleshooting

Cannot Access Billing

  • Verify you have owner role
  • Check workspace is not in trial
  • Try refreshing the page

Payment Not Processing

  • Check card details are correct
  • Verify card isn't expired
  • Contact your bank for blocks
  • Try a different card

Invoice Not Received

  • Check spam folder
  • Verify billing email address
  • Download from Payment History
