Exporting Plans

Export your plans to share with stakeholders, include in reports, archive for records, or import into other project management tools.

Import/export functionality requires a Professional tier subscription.

Export Formats

YAPL supports multiple export formats for different use cases:

Accessing Export

From Plan View

  1. Open your plan
  2. Navigate to the Tasks or Settings view
  3. Click the Export button in the toolbar
  4. Select your desired format
  5. Configure options if available
  6. Download the file

Export Menu Location

Find export options in:

  • Toolbar actions menu
  • Plan settings page
  • Right-click context menu on plan

Excel Export

When to Use

Excel export is ideal for:

  • Spreadsheet analysis and calculations
  • Sharing with stakeholders who prefer spreadsheets
  • Creating custom reports
  • Offline data review

  • Dependencies and relationships

CSV Export

When to Use

CSV export is ideal for:

Format Notes

  • UTF-8 encoding for international characters
  • Comma-separated values
  • Header row included
  • Dates in ISO format

XML Export

When to Use

XML export is ideal for:

  • Integration with external PM tools
  • Data exchange with other systems
  • Programmatic processing
  • Structured data backup

Structure

The XML export follows a hierarchical structure:

  • Plan metadata (name, version, dates)
  • Task hierarchy with properties
  • Dependencies as relationships
  • Resource assignments

ZIP Export

When to Use

ZIP export is ideal for:

  • Complete plan backup
  • Archiving project data
  • Transferring plans between workspaces
  • Full data preservation

ZIP archives contain:

  • Plan data in multiple formats
  • Task details and hierarchy
  • Assignment information
  • Version history snapshot

Markdown Export

When to Use

Markdown export is ideal for:

  • Documentation and wikis
  • Text-based sharing
  • Version control (Git)
  • Simple readable format

Output Format

Markdown exports create:

  • Hierarchical task list using headers
  • Task details as formatted text
  • Dependencies noted inline
  • Progress indicators

Printing Tasks

To print your task list:

  1. Open the Tasks view
  2. Use browser print function (Ctrl/Cmd + P)
  3. The list view is optimized for printing
  4. Adjust page settings as needed
  • Use landscape orientation for wide tables
  • Adjust zoom to fit content
  • Filter tasks before printing to focus on relevant items
  • Use "Shrink to fit" option if available

Printing works from the Tasks list view. Kanban and Gantt views are not optimized for printing - use the list view for printed output.

Regular Exports

  • Export at project milestones
  • Create regular backup archives (ZIP)
  • Version your exports with dates
  • Store copies in cloud storage

Troubleshooting

Export Not Working

  • Verify Professional tier subscription
  • Check browser allows downloads
  • Try a different format
  • Clear browser cache and retry

Missing Data

  • Ensure all tasks are saved
  • Check filter isn't excluding tasks
  • Verify you have view access to all content
  • Refresh page before exporting

Large File Size

  • Filter to relevant tasks only
  • Export in phases if needed
  • Use CSV for minimal file size
  • Compress files after download
