Organize resources into crews, departments, and logical groupings in YAPL.

Resource Groups

Resource groups help you organize related resources into logical collections like crews, departments, or equipment categories. Groups simplify resource management and allocation.

Understanding Resource Groups

Groups provide:

  • Organization - Logical categorization of resources
  • Crew Management - Group resources that work together
  • Bulk Operations - Manage multiple resources at once
  • Reporting - Aggregate resource metrics by group

Accessing Resource Groups

  1. Navigate to Resources in sidebar
  2. Click Groups or find groups section
  3. View existing groups or create new ones

Creating a Group

Step-by-Step

  1. Navigate to Resources > Groups
  2. Click Create Group
  3. Enter group details:
    • Name (required)
    • Description (optional)
    • Group type (optional)
  4. Click Create

Group Naming

Use descriptive names:

  • By function: "Heavy Equipment Crew", "Electrical Team"

Equipment Groups

Organize machinery and tools:

  • Heavy Equipment Crew
  • Hand Tools Collection
  • Safety Equipment Set

Material Groups

Categorize physical goods:

  • Electrical Supplies

Crew Groups

Bundle resources that work together:

  • Foundation Crew (equipment + materials)
  • Framing Crew

Mixed Groups

Combine different resource types:

Adding Resources to Groups

During Resource Creation

  1. When creating a resource
  2. Find the Group field
  3. Select existing group
  4. Resource added on creation

After Resource Creation

  1. Navigate to Resources
  2. Select the resource
  3. Edit resource details
  4. Select or change group
  5. Save changes

Bulk Assignment

  1. Go to resource list
  2. Select multiple resources
  3. Use bulk action Move to Group
  4. Select target group
  5. Confirm action

Managing Groups

Viewing Group Contents

  1. Navigate to Resources > Groups
  2. Click on a group name
  3. View all resources in the group
  4. See group statistics

Group Statistics

Each group displays:

  • Total resource count
  • Resources by type
  • Active vs. inactive
  • Total value/cost (if applicable)

Editing Groups

  1. Open the group
  2. Click Edit Group
  3. Modify name, description, or type
  4. Save changes

Deleting Groups

  1. Open the group
  2. Click Delete Group
  3. Confirm deletion

Deleting a group does not delete the resources. Resources become ungrouped.

Removing Resources from Groups

Individual Removal

  1. Select the resource
  2. Edit resource details
  3. Clear the group assignment
  4. Save changes

Bulk Removal

  1. Select multiple resources
  2. Use bulk action
  3. Choose Remove from Group
  4. Confirm action

Allocating Entire Groups

When assigning resources to tasks:

  1. Instead of selecting individual resources
  2. Select a group
  3. All group resources are allocated

Troubleshooting

Cannot Create Group

"Feature not available"

  • Requires Professional subscription
  • Upgrade to access groups

"Group name exists"

  • Use unique names
  • Add identifiers to differentiate

Resources Not Appearing in Group

  • Verify resource is assigned to group
  • Check resource is active
  • Refresh the page

Bulk Operations Failing

  • Verify you have permission
  • Check all selected resources are active
  • Try smaller batches
